About the event

Do we have to be invited to the symposium?

No, the Symposium is open to anyone who would like to attend, but we would recommend that you work or have a keen interest in the wine industry.

What are the dates?

The actual symposium runs from Thursday 26th to Saturday 28th May but the opening event takes places on Wednesday 25th May at the Brighton Museum.

Where is the Symposium?

The daily programme takes place at the Hilton Metropole Hotel, on the seafront in Brighton, with other event being run around the city of Brighton.

How much does it cost?

  • A full package for all conference days & evening networking events is £690 + VAT.
  • A package for just the 3 day conference programme is £600 + VAT.
  • Please see the website if you’d like to personalise your package

What is the refund policy?

  • Participants may cancel up to 8 weeks prior to the event for a full refund.
  • A 20% cancellation fee will apply up to 4 weeks prior to the event.
  • No refunds will be granted for cancellations made within 4 weeks of the event.

In the event that ICCWS cancels the event for any reason, you will receive a credit for 100% of the fee paid.

In the event that ICCWS postpones the event for any reason and the delegate is unable or unwilling to attend in on the rescheduled date, you will receive a credit for 100% of the fee paid.

Before the event

I’m disabled, am I still able to attend?

Yes, the hotel is able to fully accommodate attendees in wheelchairs and we can support anyone who wishes to attend who is blind.

You can let us know if you or any member of you party has any access requirements at the time of booking.

How do I know if there are still places left?

You would not be able to purchase tickets if the Symposium was sold out.

Can I sign more than one person up at a time?

Yes, you can select how many people you’d like to buy tickets for but you will need to fill out full information per person per ticket.

Can I attend a conference for one day or two days only?

Yes, you can personalise your booking by selecting the day & evening events you’d like to attend on the website.

How do I book the break-out sessions?

Break out sessions can be booked here or under the ‘Programme’ and ‘My Trip tabs on the website.

IMPORTANT: Places for each breakout session are limited and will be available on a first booked, first served basis.  Please book early to avoid disappointment, once a session is fully booked it will be closed.  We anticipate everyone to sign up in advance, please do not leave it until the days of the symposium to avoid disappointment.

How can I book onto the evening events?

All evening events can be seen under Networking Events tab or under the Buy Tickets tab.

How do I let you know my dietary requirements?

Please let us know via email info@iccws2016.com  if you have any dietary requirements for the Gala Dinner. Please remember to state your name and your table name (where appropriate).

Are discounts available?

If you have been issued with a discount code, please enter this at the end of the purchasing process in the required field.

What is the last date to be able to book tickets?

Tickets will be available to purchase online via invoice until the 16th May and via paypal until the 20th May. A very limited number of tickets will be available to buy from the registration desk during the days of the event on a first come first serve basis.

Does the registration fee include accommodation?

The booking fee does not include accommodation. We have information regarding the City of Brighton available under the ‘My Trip’ section of the ICCWS website. This will include information about the Hilton rooms as well as other hotels, B&Bs available through Visit Brighton.

Are meals included in the cost of the conference?

Tea & coffee breaks and a buffet lunch are included in the price for each day.

Can I buy tickets on the day?

Yes, you will be able to purchase tickets on the day from the registration desk.

Payment

How do I pay?

Payment is made online through Paypal (card), or by Invoice (BACS) or by cheque.

Is paying for the Symposium online secure?

PayPal use industry-leading technology (such as SSL) to keep your information safe. PayPal automatically encrypts your confidential information in transit from your computer to ours using the SecureSockets Layer protocol (SSL) with an encryption key length of 128-bits.

Can I pay by Amex?

Yes, PayPal accepts Amex.

I haven’t received my confirmation – what should I do?

If you haven’t receive your confirmation email within 48 hours, please email info@iccws2016.com

I’m based in the UK, can I claim the VAT back?

Yes, every purchase will be issued with a VAT receipt.

I need to cancel, can someone attend in my place?

Yes, please email info@iccws2016.com

When will I receive my ticket?

You will be emailed an e-ticket upon completion of payment. Please print & bring with you to registration. This will be your ID for the event and will detail all the events you have signed up to.

If you purchased your ticket prior to December 2015 you should have now been issued with your e-ticket, if you have not please contact us on info@iccws2016.com

When I buy tickets, what information will I receive?

Depending how you pay you will receive an invoice, confirmation of booking, a VAT receipt and your e-ticket.

During the event

What is the dress code?

During the day, the dress code is business casual, as is the welcome ceremony and Sea Life networking event. The Gala Dinner dress code is smart/cocktail not Black Tie.

What will be the symposium language? Will interpreting be provided?

The speakers will be presenting in English. Unfortunately there will be no interpreting service available.

I’m only attending one day, where do I register?

Registration will take place in the hotel from the 25th May from noon and the mornings of each of the 3 symposium days. Signs will be available to guide you there. Although the registration desk will remain open for the duration of the conference, we encourage delegates to register prior to the event if possible to avoid congestion.

I forgot to bring my ticket/ID badge, what should I do?

The ticket will be emailed to you. We would suggest you save it in a location that you can access via Wi-Fi. The hotel will be able to offer the service of printing a page for you.

Is there parking at or near the Hotel?

There is limited paid parking at the back of the Hilton accessed via ‘Cannon Place’ but there is also a very large multi story car park, directly opposite this, also accessed via ‘Cannon place’ and via ‘West Street’ – this is where we suggest you park if you are driving.

Is there anything specific that I need to bring along to the event?

Other than your ticket/ID badge which you have to print off and bring along, there is nothing specific that you need to bring for the event.

Once I get to the hotel, how will I know where to go?

There will be plenty of signage around the hotel to guide you to the various rooms. There will also be roving helpers around the hotel, should you have any queries.

What are the registration hours?

The registration desk will be open from 12 noon – 4 pm on the 25th May and 8am- 6pm on the 3 days of the symposium.

I’m coming straight to the event, is there somewhere I can keep my suitcase?

Yes, your suitcase can be left (at your own liability) at the cloakroom but must be collected by the end of the day (6pm).

I have lost my coat/wallet/mobile phone, who should I contact?

Please check the room where you think you lost your item, then please come to the registration desk.

Will there be Wi-Fi in the conference rooms?

Yes there will be free Wi-Fi for Symposium attendees.

Will I need to wear my ID during the conference?

Yes, you will be given a lanyard and ID wallet and you will need to wear your ID badge for the duration of the Symposium, except the evening events which will be done by guest list.

Will the event be filmed & photographed?

Yes, the Symposium will have an official photographer but it will not be filmed.

Are the sessions live streamed or recorded?

No, the Symposium will not be live streamed or recorded.

After the event

Can I access the presentations online after the event?

Yes, presentations will be available on the website after the Symposium has taken place, in .pdf format.

IHow can a country/city tender for the Symposium in 4 years’ time?

The process for selecting the next host has historically been that countries/cities who wish to be considered have made a presentation at the end of the symposium and the delegates have then selected the next host country/city.

We have already had some expressions of interest for hosting the next ICCWS. Whilst the decision as to who will host the next event will be taken at the 2016 symposium itself, we would advise that you consult your members well in advance of May 2016. We realise that such a decision may take some time, however, if you have any immediate thoughts as to how likely you are to be interested in making a bid to host the next ICCWS, please contact bruce.e.tindale@googlemail.com

Are there any volunteer opportunities in exchange for free admission to the conference?

I’m afraid that there are no volunteer opportunities available.
